EA TO HEAD OF FINANCE GROUP, FINANCE COMPANY TO £40,000 PLUS EXCELLENT BENS, CITY

Our client is a leading finance company based in the heart of the City with great offices and an excellent working culture.  They are now seeking an Assistant to provide comprehensive PA support to the Head, general assistance to a team together with a wide variety of administrative support including relationship management across the business.  This role would suit a calm, professional EA With experience of working at senior level and interest in learning about the business and a hands-on approach.

The Role

  • Full PA Responsibilities including;
  • Diary management
  • Fielding calls and dealing with queries where appropriate
  • Managing and organising email (filtering, filing, prioritising and monitoring)
  • Preparing relevant materials in advance of meetings
  • Creating and managing effective information management and filing systems
  • Minute taking for internal meetings
  • Managing contacts directory
  • Coordinating diaries and meeting rooms
  • Managing travel arrangements
  • Team management responsibilities; Co-ordinating (sourcing and managing) management information (performance data, risk reports), managing team expenses and holiday schedules
  • Team administration; T&C files
  • Managing technology; Problem solving and issue resolution, business support responsibilities
  • Relationship management across the business
  • Presentation preparation, quality control
  • Pre-pitch fact finding and market/competitor research
  • Business information management (new business pipeline, management fees, costs and revenues, risk reports)
  • Client and prospect library
  • Market/competitor intelligence library

Required Skills & Experience

  • To succeed in this role the individual must have a genuine interest in learning about the business together with a proactive approach, to ensure that they add value to the team.
  • Extensive secretarial/administrative experience ideally gained within an Asset Manager/Financial sector organisation
  • Excellent organisational skills, proven ability to multi task and prioritise.
  • Proactive and flexible approach, an individual who will use their skills and experience to fully develop the role.
  • Strong systems skills to include PowerPoint, Excel and Word, and ideally experience of using internal information system
